SA8000 client experienceWhat it is
What is SA8000 and what is it used for?
SA8000 is the certifiable standard for decent work, developed and owned by Social Accountability International (SAI), a non-governmental organisation founded in 1997. It sets out what an employer must do so that its people are free from child labour, forced labour and discrimination, are recruited without paying for the job, work reasonable hours for a living wage, are safe, can organise and bargain, and can raise a grievance without retaliation. The 2026 edition pairs those principles with a management system built on human rights due diligence, so the organisation finds and fixes its own problems, including those linked to business partners. SAI reports over 2.8 million workers in over 5,000 certified facilities.
It is used where a buyer or a brand wants more than a code of conduct on the wall. A SMETA or BSCI audit tells a customer what an auditor saw on one day; an SA8000 certificate tells them an accredited body found a system that keeps conditions within the standard between visits, tested it by interviewing workers in private, and will return, sometimes unannounced, over three years. For your own management the question is simpler: do your payroll, time records and grievance log show that every person on site is treated the way your customers' codes assume?
Current edition. SA8000:2026, the Standard for Decent Work, published by SAI on 1 January 2026, replaces SA8000:2014. Accredited bodies have offered SA8000:2026 audits since 1 June 2026, all of them do from 1 November 2026, and certification to SA8000:2014 ends on 31 December 2026. Organisations certified to the 2014 edition keep their certificate for now, complete SAI's Getting Started with SA8000:2026 course and SA8000:2026 Self-Assessment by 31 December 2026, transition at their next recertification audit and must hold an SA8000:2026 certificate by 31 May 2029; 2014 certificates still open on 1 June 2029 are withdrawn. First-time implementers build to the 2026 edition from day one.
Who it is for
Who needs SA8000 certification?
SA8000 applies to any organisation that employs people: SAI's definition covers companies, farms, cooperatives, NGOs and government institutions alike. Certification is per site or per commonly managed group of sites, the certificate names the activities and addresses, and top management must be inside the scope. Organisations come to Sterling for SA8000 from four starting points:
- A buyer or brand has asked for it. A supplier code, a vendor questionnaire or a tender names SA8000, or accepts it in place of repeated social audits. Confirm which sites and entity the buyer expects before investing.
- Your customers now have to prove due diligence. Due diligence laws and sustainability reporting in your customers' markets push evidence down the supply chain. An accredited certificate on a public register is evidence a procurement team can check without a visit.
- You employ migrant, contract, seasonal or agency labour. Recruitment fees, retained documents, dormitories, peak-season overtime and sub-minimum piece rates are where reputations and contracts are lost. SA8000 gives you the controls before a journalist gives you the headline.
- You are audited constantly and nothing improves. SMETA, BSCI and customer audits arrive every quarter with the same findings on hours and wages. A system that fixes causes ends the cycle, and many buyers then accept the certificate.
The intended benefit is control of working conditions and evidence of it; whether it lasts depends on management commitment and workers' involvement, not the certificate.
Business benefits
How SA8000 supports your workforce, your customers and your business
A decent-work system should protect the people who make your product or deliver your service, and the business that depends on them. We start where hours, wages, recruitment, safety and grievances already cost you money, people or contracts, and build the system there.
- Buyer confidence you can proveAn accredited certificate on SAI's public register, with a scope and status a procurement team can check, instead of a stack of one-day audit reports.
- Fewer audits, fewer repeated findingsCauses fixed once, with evidence, so the same overtime and wage findings stop reappearing in every customer audit.
- Lower turnover, steadier outputReasonable hours, fair pay, a working grievance channel and an elected worker voice keep skilled people; recruitment and training costs fall.
- Protection against the worst outcomesControls on recruitment fees, document retention, young workers and discipline, and due diligence that reaches your agencies and contractors.
- A safer siteHazard assessment, a competent safety representative, training, protective equipment at the employer's expense and decent facilities, integrated with ISO 45001 where you hold it.
- Evidence for reporting and due diligence lawsPolicy, risk assessment, grievance data and public reporting that feed your customers' disclosures instead of being rebuilt on request.
Choose a few measures that reflect these priorities, such as overtime hours per worker, the gap to the living wage benchmark, grievances raised and closed, or early turnover, and review whether the system moves them. A thicker policy manual is not a business result.
Requirements
What are the main SA8000 requirements?
SA8000:2026 has three parts. Five foundational criteria require you to meet the law and collective agreements and, where the standard is stricter, to apply the standard. Section 1 lists ten management-system criteria for governance and due diligence. Section 2 states seven decent-work principles, each with performance criteria an auditor tests on the shop floor. The table is a plain-language map; your implementation is checked criterion by criterion during the programme.
| Criteria | What it requires of you | What it looks like in practice |
|---|---|---|
| D1 Protection of children and young workers | No one under 15, or under the compulsory schooling age if higher; young workers protected in hours and night work | Age verification at hiring, a young-worker register, remediation if a child is found |
| D2 Freedom of association and collective bargaining | Respect the right to join or form a union and to bargain; no interference or retaliation | A written commitment, elected representatives where the law restricts unions, agreements honoured |
| D3 Free and fair recruitment, employment and termination | No forced labour, debt bondage, retained documents or worker-paid recruitment fees; no harassment; fair discipline and termination | Employer-pays recruitment, readable contracts, documents held by the worker, discipline explained at hiring |
| D4 Decent hours, wages and benefits | Regular hours within 48 a week and overtime within 12, or lower legal limits; a rest day after six consecutive days; a living wage or the legal minimum if higher | Time records reconciled to payroll, voluntary overtime at a premium, a living wage benchmark and a plan for any gap |
| D5 Freedom from discrimination | No discrimination in hiring, pay, promotion, discipline or termination on any ground unrelated to the job | Pay and promotion data reviewed by group, pregnancy and caretaking protected, complaints investigated |
| D6 Health and safety | A competent safety representative, risk assessment, training, protective equipment at the employer's expense, decent facilities and housing | Risk assessments by area, incident records, drills, clean toilets and potable water, dormitories to standard |
| D7 Privacy | Collect and use personnel data only for work-related purposes, minimised and kept secure | An inventory of personal data held on workers, access controls, rules for biometric and monitoring systems |
| M1–M3 Leadership, worker and stakeholder involvement | Top management owns the system; workers, unions and other representatives shape it; stakeholders are engaged | A Social Performance Team of managers and peer-elected workers that meets, decides and reports upward |
| M4–M6 Policy, context, impacts, risks and planning | A policy commitment and mutual expectations for business partners; identify adverse impacts you cause, contribute to or are linked to, and plan to end, prevent, mitigate and remediate them | A risk assessment covering sites, labour agencies and contractors, with objectives, owners and dates |
| M7–M8 Awareness, implementation, integrity and transparency | Personnel and business partners understand the policies; the organisation reports publicly and deals openly with auditors and SAI | Induction and refresher training, supplier communication, an annual public statement, full audit access |
| M9–M10 Monitoring, grievance mechanisms, review and improvement | Monitor from many sources, run a grievance mechanism that is accessible, confidential and free of retaliation, review with top management and improve | Internal audits, worker feedback, a grievance log with resolution times, a management review that decides things |
What does useful SA8000 evidence look like?
Time and payroll records that reconcile for every worker, the living wage benchmark and gap analysis, age documents at hiring, agency contracts showing who paid the fees, the Social Performance Team's election records and minutes, the risk assessment, the grievance log, safety inspections, training records and the last management review. Most of it already exists in HR, payroll and production; we help you connect it, without documents created to fill folders, and it lives in Effivity from the first workshop.
SA8000:2026 requirements explained, criterion by criterionCertification process
How do you get SA8000 certified?
First implement a working system and let it run long enough to produce records. Then a SAAS-accredited certification body assesses it under SAAS Procedure 200, which builds on ISO/IEC 17021-1 practice with the scheme's own rules on worker interviews, unannounced visits and consultants. Sterling provides consulting and preparation; the decision belongs to the certification body, and that separation makes the certificate credible.
- 01Define what the certificate needs to cover.Confirm the entity, sites, headcount including contract and agency workers, the buyers' expectations and the scope; complete SAI's SA8000 Self-Assessment, the scheme's first step.
- 02Gap analysis: review current practice against the requirements.Hours, payroll, recruitment, age records, safety, discipline, grievances and business partners reviewed against every criterion; actions, owners, dates and resources agreed.
- 03Implement and collect meaningful evidence.Elect the Social Performance Team, put the policies, grievance mechanism, wage and hours controls and business-partner policy into use, train everyone, and let records accumulate.
- 04Audit, review and address the findings.Internal audit with private worker interviews and management review test the system; findings are raised by us first and closed with evidence.
- 05Complete the independent assessment. The certification body's Stage 1 readiness review, then the Stage 2 audit within six months: documents, site tour, management interviews and randomly selected workers interviewed in private; respond to findings and await the decision.
- 06Maintain the system after certification.Monitoring, grievances, internal audits and reviews continue, alongside the body's semi-announced surveillance audits, follow-up reviews, unannounced visits and recertification before the three-year certificate expires.
Check the credibility of the route, not just the quoted price. Only SAAS-accredited bodies can issue an SA8000 certificate, and every valid certificate appears on SAI's public register; verify both. Be cautious of "no implementation, no audit" offers: SAAS requires auditors to look for consultant-run systems and coached workers, and a certificate that fails a buyer's check leaves the money spent and nothing changed. Cost
How much does SA8000 certification cost?
There is no useful universal price for SA8000 implementation. A 120-person service company paying above the living wage needs a different programme from a 3,000-worker factory with agency labour and dormitories. SAI sets no certification fees: each accredited body prices its audits, and audit days follow SAAS rules on headcount, in which every worker counts as one whatever their hours. What we can promise is a proposal with every component visible and the fee fixed.
| Cost component | What affects it |
|---|---|
| Consulting and implementation | Current practice on hours, wages and recruitment, sites and countries, workforce composition, deliverables and how much of the work your team takes on (Design™ or Drive™) |
| Independent certification | The certification body's daily rate, the audit days SAAS rules assign to your headcount for Stage 1, Stage 2 and surveillance, travel, and SAI's self-assessment fee |
| Internal resources | Management and Social Performance Team time, HR and payroll analysis, training, and any remediation the gap analysis reveals, such as a wage gap, overtime or facilities: a business cost, not a consulting one |
| Software and learning | Included in a Sterling engagement: Effivity for the system and Sterling Academy access for your people, with users, courses and access period confirmed in the proposal |
| Continued support | Internal audits, surveillance readiness, refresher learning and the 2026 transition under Sustain™ |
What moves the price
- Headcount, including contract, agency and seasonal workers, and the sites and countries
- The distance between today's hours and wages and the standard's limits
- Whether a safety or quality system already runs, and how much of it works
- Migrant labour, recruitment agencies and on-site contractors in scope
- The buyer's deadline, languages, and how much work your team can carry
What a Sterling proposal always shows
- Deliverables, responsibilities, assumptions and exclusions, in writing
- Certification-body fees identified separately, so the full programme cost is comparable
- Effivity, training and Academy access itemised at no additional cost
- Payment milestones tied to deliverables, not to the calendar
- One all-inclusive proposal. No surprises, ever
Timeline
How long does SA8000 certification take?
The realistic timeline depends on how far today's hours, wages and recruitment sit from the standard, on the availability of your managers and worker representatives, and on the certification body's schedule. It is measured in months, not days, typically six to twelve: the Social Performance Team has to be elected and meet, the grievance mechanism has to be used, and time and payroll records have to show months of compliant operation. We plan around that evidence, with milestones tracked in Effivity.
| Phase | What determines the pace |
|---|---|
| Scope and gap analysis | Access to payroll, time records, contracts, agency agreements and sites, and an accurate first look at hours and wages |
| Build and implementation | Electing the Social Performance Team, agreeing wage and overtime changes, launching the grievance mechanism and training every shift |
| Evidence and review | Records accumulating over months of operation, then internal audit with private worker interviews and a management review that acts on them |
| Certification assessment | The certification body's availability, Stage 1 and Stage 2 within six months of each other, and the time to close findings: under a month for a critical finding, three for a major, six for a minor |
If a buyer has given you a date, share it at the start. We will tell you what is achievable and which early decisions on wages, hours and recruitment set the pace. A certificate date promised before anyone has read your payroll is a sales tactic, not a plan.
Challenges
Common SA8000 implementation challenges
Most SA8000 programmes stall for the same five reasons; each has a practical answer.
Overtime runs past the limit every peak season.
We analyse hours by worker and month from your own time records, find the scheduling, capacity and order-acceptance causes, and agree a plan with production and sales that keeps regular hours within 48 and overtime within 12, or the lower legal limit, with a rest day after six consecutive days. The monthly evidence goes into Effivity, so management sees the trend first.
Wages sit below the living wage benchmark.
SAI now requires certification bodies to test wages against recognised living wage references, Anker benchmarks first, and to raise a nonconformity where pay falls short from 1 July 2027. We establish the benchmark, measure the gap by grade and location, and help management build a costed, dated plan to close it.
The Social Performance Team exists on paper.
The standard requires a balanced team of managers and workers, with worker participants elected by their peers, and a worker representative in the room when the audit opens. We run the election properly, train the team, give it a standing agenda on risks, grievances and hours, and record its decisions in Effivity. Consultants may not sit on it; we do not.
Nobody uses the grievance channel.
A suggestion box with no replies is evidence against you. We design a mechanism that meets the standard's tests, accessible, confidential, predictable and free of retaliation or lost earnings, communicate it in every language on site, log each grievance with its resolution time, and show workers that raising an issue changes something.
Agencies and contractors bring the risk onto your site.
Recruitment fees, retained passports and unpaid overtime often sit with a labour agency, a canteen contractor or a security provider, and SA8000 treats on-site suppliers as part of your operation. We build the mutual expectations, due diligence and leverage plan the standard requires, so you keep or replace partners on evidence.
Your engagement
What your SA8000 engagement includes
Your agreed scope brings together everything a functioning decent-work system and a prepared team need. Most firms sell a document set and leave management to face the worker interviews alone; a Sterling engagement is the whole journey, from one team, under one all-inclusive proposal.
Scope, gap analysis and implementation plan
Hours, wages, recruitment, safety and business partners reviewed against SA8000:2026, with responsibilities, dates and decision owners agreed before work starts.
Policies, procedures and the decent-work documentation
Policy commitment, business-partner expectations, grievance, disciplinary, recruitment and young-worker procedures, on Sterling's own template sets, written with your HR, production and safety leads.
Effivity ISO & GRC software
Your SA8000 system runs in Effivity from day one, included with the engagement at no additional cost.
Training for everyone
Internal auditor training for your audit team, as applicable to your standard, Social Performance Team training, and preferential Sterling Academy access, including complimentary awareness training for your people as part of the engagement.
Internal audit and management review
Conducted or facilitated as agreed, with private worker interviews, and findings closed with evidence before the certification body arrives.
Certification readiness and support
Preparation of your managers and worker representatives for Stage 1 and Stage 2, and support until the certificate is issued. At the audit your management and Social Performance Team speak for the system; SAAS allows a consultant into the opening and closing meetings only as a silent observer, and we prepare you accordingly.
Certification decisions remain with the independent certification body.
How we deliver
How Sterling supports your SA8000 implementation
Every SA8000 engagement runs on Sterling OS™, our delivery operating system: five phases with named deliverables, decision owners and evidence at each stage. Choose the level of support that matches your capacity; the method, software and accountability stay the same, as does the rule that your people own the system.
- 01Design™Guided implementation: your HR, production and safety leads implement with Sterling's structure, templates, workshops and coaching.
- 02Drive™Fully managed consulting: Sterling consultants take on the agreed analysis, documentation and training work with your process owners; decisions stay with management.
- 03Sustain™Post-certification operation: surveillance readiness, internal audits, Social Performance Team support, refreshers and new-hire training, year after year.
- 04Automate™The system running in Effivity: policies, risks, grievances, hours and wage indicators, audits and management review in one workspace.
- 05Revise™The transition from SA8000:2014 to SA8000:2026, new sites, new labour agencies, new buyer codes and changes in the law.
At the start we agree the engagement team, the weekly session, the deliverables and the decision owners. Progress is reviewed against those commitments so that gaps are visible early, not at Stage 1.

Effivity · SA8000 social accountability software, included in every engagement
How Effivity helps you fulfil, automate and simplify the requirements of SA8000:2026.
Every Sterling SA8000 engagement includes Effivity, the ISO and GRC automation platform built by the Sterling group and used in 50+ countries. Your consultant configures the workspace within the agreed scope, so the policy, risk assessment, Social Performance Team minutes, grievances, hours and wage indicators, business-partner evaluations, training, audits and management review live in one place, the system runs in daily work and the auditor reviews a live system rather than a binder. Sterling consulting clients get their Effivity subscription included with the engagement, at no additional cost.

Policy, roles and the Social Performance Team
The policy commitment, the responsibilities of top management, the safety representative and the team, and every meeting recorded with decisions and actions.
Impact and risk assessment
A register of adverse impacts across sites, agencies and contractors, rated and owned, with treatments tracked to closure and brought to management review.
Hours and wage indicators
Monthly indicators from your time and payroll data: regular and overtime hours per worker, rest days and the living wage gap by grade and site, with alerts before a limit is breached.
Grievances and complaints
Every grievance logged with its channel, investigation, outcome and resolution time; retaliation checks recorded; trends visible to the team and management.
Recruitment, agencies and contracts
Agency agreements with fee terms, age verification, contract acknowledgement, document custody and disciplinary records, created as each event happens.
Hazards, inspections and incidents
Risk assessments by area, inspections, incidents and near misses, protective equipment, drills and facility checks, linked to the actions they generate.
Training and business partners
Induction, refresher and team training records linked to Sterling Academy; mutual expectations sent to business partners, their evaluations and the leverage plan for each.
Internal audit, management review and reporting
Audit programmes with interview records, findings and follow-up; a management review with inputs, decisions and actions; the data for your public statement in one report.
What this means at the audit
The certification auditor asks for the Social Performance Team's election and minutes, the hours and payroll reconciliation, the living wage benchmark, the grievance log, the risk assessment and the last management review, then interviews workers and checks whether the answers match. In Effivity each record is a screen, with dates, owners and evidence attached, not a folder assembled the week before Stage 1. After certification, Sustain™ runs in the same workspace, so a surveillance or unannounced visit finds a system that never stopped.

SA8000 alongside other standards
How an integrated programme runs.
- 01How an integrated programme is scoped
Labour-intensive manufacturing: SA8000 with ISO 9001 and ISO 45001 as one programme
A garment, footwear, electronics or food factory supplying international buyers typically needs ISO 9001 for its customers, ISO 45001 for safety and SA8000 for the buyers' social codes. Run as one programme, the site keeps one document system, one risk assessment serving both the safety standard and SA8000's safety principle, one legal register, one training calendar, a Social Performance Team working with the safety committee, and one audit and review cycle, so every certification body finds the same system.
Sterling Academy · SA8000 e-learning
Train every worker and supervisor on SA8000, not just the compliance team.
Sterling Academy delivers e-learning for the whole workforce and for the people who run the system: video lessons with practice checkpoints, a final exam and a numbered Certificate of Completion, verifiable online. SA8000 asks that personnel understand their rights and the grievance channel; an auditor tests that in private. Sterling consulting clients benefit from preferential course access and special pricing through their Sterling consultant, including complimentary awareness training for their people as part of the engagement.
- SA8000 awareness for every worker and supervisor, with the evidence of understanding the standard requires
- Practitioner courses for HR, payroll, production and safety leads and the management representative
- Internal auditor training for the people who will audit the system, as applicable to your standard, as part of the engagement
- Learner progress by department and shift, and a training status report for the auditor
- New hires and agency workers trained as they arrive, so evidence is current at every audit
- A Sterling consultant reachable when a learner needs one

Why Sterling
Want successful SA8000 certification? Come to Sterling.
Whether you are certifying one factory or aligning sites across countries, Sterling helps you build a decent-work system that survives the worker interview. We work through the differences in labour law, wages, recruitment practice and union arrangements between locations, so the system meets the standard everywhere without pretending every site is the same.
Management systems in 60+ countries since 2003
Systems implemented for manufacturers, agribusiness, contractors, BPOs and service providers across every region we serve, one engagement team accountable wherever you operate, and offices in 21 countries.
All-inclusive proposal
Consulting, Effivity, training and Academy access in one proposal, with certification-body fees identified separately. No surprises, ever.
A system your workers can use
Less documentation and maximum effectiveness: a grievance channel people trust, a Social Performance Team that meets, and indicators from your own payroll, so your people own the system rather than tolerate it.
Expert and experienced consultants
Consultants who have advised on management systems across sectors and countries since 2003, who know the labour law of your locations, and who build your SA8000 system properly the first time, so the audit confirms what already works.
The Sterling Promise
What our SA8000 certification success guarantee means
We stay with you until your agreed SA8000 certification outcome is achieved, supporting implementation, preparation and the resolution of assessment findings. Clear explanations, practical delivery, included software and employee learning turn the investment into working conditions that hold, not a certificate on a wall.
The engagement identifies the standard, scope, outcome and responsibilities. Your organisation supplies accurate information, including payroll and time records, and puts the agreed controls into use, including the wage, hours and recruitment decisions only management can make. The independent certification body assesses conformity and retains its decision. Our commitment concerns the agreed certification support, not every future buyer approval.
After certification
What happens after SA8000 certification?
Your decent-work system should keep working as orders, seasons, agencies and people change. Hours and wages are monitored monthly, the Social Performance Team keeps meeting, grievances are answered and business partners are reviewed. The certification body returns for semi-announced surveillance audits within a window it advises in advance, follows up about six months after each visit, may arrive unannounced, and recertifies before the certificate expires.
As your business grows, the system should evolve with it: a new site, labour agency, buyer's code or minimum wage changes the risk picture. Under Sterling OS™ Sustain™ we review hours and wage indicators, grievance trends and business-partner performance with you alongside the planned internal audits, management reviews and surveillance preparation, so the system stays alive between audits rather than being revived before one.
FAQs
Frequently asked questions about SA8000
Who issues an SA8000 certificate?
A certification body accredited by SAAS, the accreditation arm of SAI, after a Stage 1 readiness review and a Stage 2 audit. SAI writes the standard and keeps the public register but does not certify; Sterling consults and prepares but does not certify either.
What is the difference between SA8000 and SMETA, amfori BSCI or RBA?
SMETA is an audit methodology owned by Sedex: an approved audit company reports findings and a corrective action plan shared with buyers through Sedex; no certificate is issued. amfori BSCI states that it is not a certification; it grades producers for its members. The RBA's Validated Assessment Program verifies conformity with the RBA Code of Conduct and offers recognition, not a certificate. SA8000 is the certifiable management-system standard behind them, and their findings on hours, wages and recruitment are largely the same requirements.
Do we have to pay a living wage to be certified?
SA8000:2026 requires a living wage or the legal minimum if that is higher. SAI has told certification bodies not to raise living wage nonconformities before 1 July 2027 and, after that, to allow closure timelines that reflect the cause of a gap. You need the benchmark, an accurate measurement of the gap and a costed plan, owned by management.
What is the Social Performance Team, and can a consultant sit on it?
The balanced group of managers and peer-elected workers that the standard requires to develop, monitor and improve the system; a worker representative attends the audit's opening meeting. SAAS rules are explicit that consultants may not serve on it, represent management at audits or speak to the certification body for you. Sterling trains and coaches the team; it does not sit on it.
How does the auditor interview our workers?
Workers are selected at random, interviewed in private with no management present, and paid as if they were working. Auditors compare what they say with your records on hours, pay and grievances, and SAAS asks them to look for coached answers. The only preparation that works is a system people experience, not a briefing the day before.
We are certified to SA8000:2014. What must we do now?
Complete SAI's Getting Started with SA8000:2026 course and the SA8000:2026 Self-Assessment by 31 December 2026, then transition at a recertification audit, which starts a new three-year cycle. Every certificate must be on SA8000:2026 by 31 May 2029; remaining 2014 certificates are withdrawn on 1 June 2029. Sterling's Revise™ service runs the plan.
Does SA8000 cover our suppliers and labour agencies?
The certificate covers your organisation and the sites named on it; suppliers operating on your site count as part of your operation, and SAI will not approve a shell company that subcontracts most of the work. Beyond the site, SA8000:2026 asks you to set mutual expectations for business partners, conduct due diligence, use your leverage where you are linked to a problem, and end a relationship only as a last resort.
Can we integrate SA8000 with ISO 45001 or ISO 9001?
Yes. The 2026 management-system criteria draw on the harmonised structure the ISO standards use, so context, risk assessment, objectives, competence, internal audit and management review can be shared, and the safety principle sits naturally on an ISO 45001 system. Hours, wages, recruitment and worker involvement still need their own controls.
What do you need to prepare an SA8000 proposal?
The entity and sites to be covered, approximate headcount including contract, agency and seasonal workers, whether any social audits or certificates exist today, which buyer or code is asking, and your deadline. That is enough for a scoped, all-inclusive proposal; no policy manual is needed first.
Before the first call
Prepare a useful SA8000 readiness brief
You do not need a policy manual before the first discussion. Bring a short, accurate account of how people are employed and where the certificate should help. Seven questions are enough:
- Which buyer, code or tender is asking for SA8000, for which sites and by when? Or, if nobody has asked, what do you want to be certain of in your workplaces?
- How many people work on each site, and how many are contract, agency, seasonal, migrant or under 18?
- What do your time records show about hours in the busiest month, and how are wages set against the legal minimum?
- Who recruits your workers, who pays the fees, and who holds their documents?
- What do recent customer audits, corrective action plans, grievances or turnover say about the starting point?
- Which existing systems, safety committees, worker representatives or certificates already work?
- Who in top management can decide on wages, hours and recruitment, and who can give time to the Social Performance Team, internal audit and training?
Use these answers to scope the work and prepare a realistic proposal. They are preparation for a discussion, not a scored assessment or a certification decision.
Don’t be fooled by certification scams
If it takes ten days, it is not SA8000 certification.
An SA8000 certificate is useful when a buyer can find it on SAI's register, issued by a SAAS-accredited body, for the sites the buyer cares about, and when the workers behind it would say the same things to an auditor in private. The market is full of paper: "social compliance certificates" from bodies nobody accredits, consultants who manage everything while your people do nothing, and audits in which every worker gives the same rehearsed answer. They cost less, until a buyer checks.
How to choose a credible SA8000 provider
- Ask who will issue the certificate and check it against SAI's list of SAAS-accredited bodies; a certificate from any other body is not SA8000, whatever the logo.
- Ask how a buyer will verify it: every valid certificate, with its scope, status and number, is searchable on SAI's public register; a provider who cannot explain that has never delivered one.
- Ask how the programme will handle hours, wages and recruitment fees. If the answer is a policy template, the first worker interview will contradict it. Payroll and time records, not documents, decide this certification.
- Ask who elects the Social Performance Team and who answers the auditor. SAAS bars consultants from the team, from representing management and from speaking to the certification body; a provider offering to "handle the audit" is offering a nonconformity.
- Ask what your people will learn and what software the system will run in. Untrained workers, an unused grievance channel and records on a consultant's laptop do not survive surveillance.
- Walk away from "certified in 7 to 10 days", "we manage everything" and one invoice for consulting and certificate. A decent-work system has to be elected, used and recorded for months before it can be audited.
