hospitality and facilities · ISO and GRC consulting
ISO certification for hospitality and facilities, run the way guests, owners and clients expect.

What hospitality and facilities is asked for
The standards hotels, venues and FM providers are asked for.
Most hospitality groups start with ISO 9001 for service quality and add food safety for kitchens and banqueting. Facility management providers are increasingly asked for ISO 41001, which is written around the client they serve. Safety, environment and energy follow, and are best run as one integrated system rather than four binders.
Why now
Why hotels and FM providers are asked for certification now.
The pressure rarely comes from one place. It builds from clients, owners, payment partners and the day something goes wrong.
- Corporate clients and guestsCorporate accounts and travel buyers ask how you manage quality, energy, water and waste, and expect evidence rather than a brochure.
- FM tenders and renewalsFacility management contracts are won and renewed on service levels, safety records and the ability to show a working system across client sites.
- Card paymentsAnyone who takes guest cards at the front desk, in outlets or online must meet PCI DSS, validated every year in the way your acquirer requires.
- Food hygiene obligationsKitchens, banqueting and catering contracts face inspections and client audits; a HACCP plan that is followed on every shift is the answer inspectors look for.
- Group and owner consistencyOwners, management companies and group head offices want the same standard at every property, and a way to see it without visiting each one.
- Incidents and continuityA food complaint, a slip in a wet area, a chiller failure or a contractor injury tests your controls in public. Certification is built on preventing the next one.
Scope and evidence
What the certification auditor looks for in a hotel, venue or FM contract.
The requirement areas below cut across the standards. Each one is described the way it appears in daily operations, with the evidence that proves it is under control.
| Requirement area | What it looks like in hospitality and facilities | Evidence auditors ask for |
|---|---|---|
| Client and guest requirements | Brand and owner standards for a hotel; for FM, the client's needs written down and agreed as service levels | Service standards, service level agreements, KPI reports, guest feedback and complaint analysis with actions |
| Food safety in kitchens and banqueting | Receiving, storage, cooking, chilling, hot holding and service, including allergen information and buffet control | Hazard analysis and HACCP plan, CCP monitoring and temperature records, cleaning schedules, supplier approval, pest control reports |
| Safety of staff and contractors | Manual handling and chemicals in housekeeping, hot work and working at height in engineering, knives and burns in the kitchen | Hazard identification and risk assessments, permits to work, incident investigations, worker consultation records, training records |
| Environment and energy | Energy for cooling, heating and hot water; laundry and pool chemicals; refrigerants; food waste; generator fuel | Aspects register, legal register, meter readings by property, energy review and indicators, waste records |
| Subcontractors and suppliers | Cleaning, security, pest control, laundry and mechanical and electrical contractors working on your sites or your clients' sites | Approved supplier list, competence and induction records, performance monitoring, contractor safety checks |
| Guest card data | Property management system, booking engine, front desk and outlet terminals, and the guest Wi-Fi next to them | Cardholder data environment scope, network diagram, provider register with Attestations of Compliance, terminal inspection logs |
Card data is validated separately under PCI DSS, by a PCI SSC-qualified assessor or a self-assessment questionnaire where your acquirer allows it; it is not part of an ISO certificate. Sterling does not certify or assess; an independent body audits and decides.
The engagement
What happens between the first call and the certificate.
The six steps are the same whether your primary standard is ISO 41001 for a facility management provider or ISO 9001 for a hotel group, and further standards join the same system. You choose Design™, where your team builds with our guidance, or Drive™, where we carry more of the work.
- 01Define what the certificate needs to cover.Confirm activities, sites, headcount, customer expectations and the intended certification scope.
- 02Gap analysis: review the current system against the requirements. The gap analysis identifies what is missing, preserves effective practice and agrees actions, owners, dates and resources.
- 03Implement and collect meaningful evidence.Put controls into use, train the relevant people and keep the records that show how the system operates.
- 04Audit, review and address the findings.Internal audit and management review evaluate implementation; findings are raised by us first and closed with evidence.
- 05Complete the independent assessment. The certification body's Stage 1 readiness review, then the Stage 2 audit; respond to any findings and await its decision.
- 06Maintain the system after certification.Monitoring, internal audits, reviews and improvement continue, alongside the body's surveillance audits and three-yearly recertification.

FAQs
Questions hospitality and facilities clients ask before they engage us.
The specific answers for your organisation come from the discovery call. These are the general ones.
Which ISO certification does a hotel or facility management company need?
Most start with ISO 9001 for service quality or ISO 41001 for facility management, then add what their operation requires: HACCP or ISO 22000 for kitchens and catering, ISO 45001 for staff safety, ISO 14001 and ISO 50001 for environment and energy. The right order depends on what your clients, owners and tenders ask for. The discovery call settles it, and the free readiness check gives a first view.
Is ISO 41001 only for FM service providers?
No. ISO 41001 applies to outsourced providers, in-house facility and workplace teams, and owners or operators of estates and portfolios, whether services are delivered in house, outsourced or both. What it asks is the same: understand what the organisation you serve needs, agree service levels, control the processes and subcontractors that deliver them, and prove performance against a baseline.
Do our hotel kitchens need ISO 22000, or is HACCP enough?
HACCP is often enough for a single property or outlet, and it is audited inside every ISO 22000 certification anyway. ISO 22000 adds a full food safety management system around it, which suits catering contracts, central kitchens and groups that want one approach across sites. ISO 22000 explicitly covers food service and catering, and ISO 22002-2 sets out the prerequisite programmes for catering.
Can one system cover several properties and several standards?
Yes. Quality, safety, environment, energy and food safety share the same structure, so one integrated system with one set of internal audits and one management review is usually the most efficient route. For a group, the certification body normally samples properties or contract sites rather than visiting every one each year. Effivity keeps the evidence from every site in one workspace.
Does ISO certification make us PCI DSS compliant?
No. PCI DSS is separate: it is validated every year, either by a PCI SSC-qualified assessor or through a self-assessment questionnaire where your acquirer and the card brands allow it. An ISO system helps, because policies, supplier control and internal audit can serve both, but the card environment has its own scope and evidence. Sterling prepares you; it does not assess or validate.
How long does certification take for a hotel or FM provider?
It depends on the standards and the number of properties or contracts. As a guide, ISO 9001 typically takes 3 to 6 months, ISO 41001 and ISO 14001 typically 4 to 8 months, and ISO 50001 typically 6 to 12 months, because energy data has to accumulate. Integrated programmes are planned around peak seasons so that operations are never disrupted.
We host conferences and events. Is ISO 20121 relevant?
It can be. ISO 20121 is the event sustainability standard, and it applies to venues and event suppliers such as caterers as well as to organisers. It manages the environmental, social and economic impacts of events from planning to post-event review. An independent certification body audits and decides; accreditation for ISO 20121 is offered by some accreditation bodies but not all, so check before you choose one.
