What it is

What is ISO 20400 sustainable procurement guidance?

ISO 20400, Sustainable procurement — Guidance, is published by ISO. In ISO's words it gives guidance to organisations, independent of their activity or size, on integrating sustainability within procurement, as described in ISO 26000. It speaks to everyone engaged in or affected by procurement processes and decisions, from the board that sets policy to the buyer who signs the order.

In practice it helps you decide which purchases carry the biggest environmental, social and economic impacts, write those priorities into policy and sourcing, and check that suppliers deliver on them. Because it is guidance, it describes good practice rather than auditable requirements.

Current edition. ISO 20400:2017, edition 1, published in April 2017. ISO reviewed it and confirmed it in 2023, and no newer version is shown as under development. ISO lists it as guidance, so no certification body can certify to it.

Who it is for

Who asks for ISO 20400?

Requests usually come from people who have to explain where and how the organisation spends its money:

  • Large customers and public buyers. Tender questionnaires increasingly ask how you manage sustainability in your own supply chain, not only in your operations.
  • Boards and sustainability teams. Supply chain impacts often outweigh direct ones, and reporting frameworks ask how they are managed.
  • Procurement leaders. A recognised international reference gives the policy weight with budget holders and suppliers.

The value lies in better purchasing decisions and the evidence behind them, not in a certificate, because none exists.

Requirements

What does ISO 20400 cover?

ISO 20400 is guidance, so it contains recommendations rather than certifiable requirements. We have not listed its clause titles here; the lines below describe what Sterling's work against the guidance covers.

  • Policy and commitment: a sustainable procurement policy agreed by leadership and linked to ISO 26000 principles
  • Priorities: spend categories ranked by sustainability risk and opportunity
  • Sourcing process: sustainability criteria built into specifications, tenders and contract terms
  • Suppliers: evaluation, engagement and follow-up of the suppliers that matter most
  • Measurement: indicators, reviews and reporting on what the policy achieves

What does useful sustainable procurement evidence look like?

A signed policy, a category risk map, tender documents with weighted sustainability criteria, supplier assessments and action plans, and a periodic review with decisions recorded. We keep this in Effivity so a customer, auditor or board can follow a purchase from policy to supplier.

Your engagement

What your ISO 20400 engagement includes

Your engagement brings procurement, sustainability and finance together around one practical approach, under one all-inclusive proposal.

  • Gap review and plan

Current purchasing practice measured against the guidance, with priorities and owners.

  • Policy and procedures

Sustainable procurement policy, sourcing steps and contract clauses tailored to your categories.

  • Effivity ISO & GRC software

Supplier registers, assessments and actions in one workspace, included with the engagement at no additional cost.

  • Training for everyone

Awareness for budget holders and buyers, and preferential Sterling Academy access, including complimentary awareness training for your people as part of the engagement.

  • Supplier evaluation

A method to assess and follow up key suppliers, trialled on real contracts.

  • Review and reporting

Indicators and a management review that show the policy working.

How Effivity helps you fulfil, automate and simplify sustainable procurement to ISO 20400.

Every Sterling ISO 20400 engagement includes Effivity, the ISO and GRC automation platform built by the Sterling group and used in 50+ countries. Your consultant configures the workspace within the agreed scope, so the procurement policy, category risks, supplier assessments, contract criteria, actions and reviews live in one place, the system runs in daily work and a customer or auditor reviews a live system rather than a binder. Sterling consulting clients get their Effivity subscription included with the engagement, at no additional cost.

Scope

Scope, products and interested parties

The scope of the policy, the spend categories and the interested parties are kept in one register and reviewed on a schedule, so priorities stay current as purchasing changes.

Policy

Policy, roles and objectives

The policy, the responsibilities and the objectives with their measures, owners and dates live where the people who own them work; progress is reported from the system, not from a separate spreadsheet.

Risk

Risks and opportunities

A risk and opportunity register with owners, actions and review dates; treatments tracked to closure and brought to management review automatically.

Support

Competence, awareness and documented information

Training and competence records for every person, linked to Sterling Academy; documents with versions, approvals and distribution, so the current version is the only one in use.

Suppliers

Supplier evaluation and sustainable sourcing

Supplier questionnaires, scores, site visits and improvement actions, each linked to the contract and category it concerns, with a record created as the work is done.

Evaluation

Monitoring, internal audit and management review

Audit programmes, findings and follow-up; KPIs on live dashboards; a management review that records its inputs, decisions and actions.

Improvement

Nonconformity, complaints and corrective action

Raised, investigated and closed with root cause and the evidence that the action worked; recurring issues visible to management before they become a finding.

Across the system

Your own processes, forms and reports

Forms, fields, workflows and reports adapted to how you work, without code; legal and customer requirements tracked to the processes they affect.

What this means when a customer asks

A tender or customer questionnaire asks how you manage supply chain sustainability. In Effivity the policy, the category priorities, the supplier assessments and the follow-up actions are each a screen, with dates and owners, so the answer is evidence rather than a statement. Sustain™ keeps the reviews running in the same workspace.

In your engagement

FAQs

Frequently asked questions about ISO 20400

Can you get ISO 20400 certified?

No. ISO lists ISO 20400 as guidance, so there is no certification to it. Organisations show alignment through their policy, processes and evidence, and some pair it with a certifiable standard such as ISO 14001.

How is ISO 20400 related to ISO 26000?

ISO 20400 applies the social responsibility principles described in ISO 26000 to procurement. ISO 26000 is also guidance; ISO 20400 narrows its focus to how you choose and manage suppliers.

Is ISO 20400 only for large organisations?

No. ISO states it applies to organisations independent of their activity or size. A small business can apply it to its few significant purchases with a short policy and a simple supplier check.
