IFS Food client experienceWhat it is
What is IFS Food and what is it used for?
IFS Food is the certification standard IFS applies to food manufacturers. It examines the products and the production processes to judge whether a producer can make safe, authentic food of the agreed quality, in line with the law and with its customers' specifications. It began in 2003, when the German retail federation HDE and the French retail federation FCD introduced the International Food Standard; today IFS Management GmbH, their joint venture, runs it as part of the International Featured Standards family.
What sets IFS Food apart is its scoring. Every requirement is scored from A, full compliance, to D, not implemented; ten are KO requirements, and a D on any of them rules out a certificate. The total becomes a percentage: at least 95 per cent earns the Higher level, at least 75 but under 95 per cent the Foundation level, and after an unannounced audit the certificate carries the IFS Star.
Current version. IFS Food Version 8 was published in April 2023; audits against it were possible from 1 October 2023 and became mandatory from 1 January 2024. In April 2026 IFS chose to revise the doctrine rather than issue a new version: doctrine version 5, published on 23 April 2026, corrects errata, clarifies the definition of food safety culture and the extraordinary information a certified site must pass to its certification body, and was written to meet the 2024 GFSI Benchmarking Requirements. GFSI's list of recognised programmes names IFS Food version 8 against the 2020 Benchmarking Requirements, and IFS describes the revised doctrine as preparation for its recognition application under Version 2024. Who it is for
Who needs IFS Food certification?
IFS Food is written for the production site. It applies only where food is processed or treated, or where loose food is packed and could be contaminated at primary packing. A logistics provider, a broker or trading agent, or a manufacturer of packaging looks to IFS Logistics, IFS Broker or IFS PACsecure instead. Manufacturers come to Sterling for IFS Food from four starting points:
- A retail customer has made IFS Food a condition of supply. Supplier approval requirements for private-label and branded ranges can name the scheme, a minimum level or the unannounced option. We confirm at the outset what your customer accepts and what the scope must cover.
- You need a GFSI-recognised certificate and IFS suits the site. Where a customer accepts any GFSI-recognised scheme, IFS Food fits a producer that wants a detailed checklist, a scored result it can improve year after year, and one audit report held in the IFS Database.
- You are opening export markets or new retail accounts. A single annual IFS Food audit can take the place of repeated customer audits wherever the customer accepts it.
- A recall, a complaint or a poor customer audit has exposed a gap. A foreign-body complaint, a mislabelled allergen or a product that drifted from its agreed specification shows that a HACCP plan on its own is not a system. IFS Food adds specifications, operational controls, food fraud and food defence plans, and a scored audit every year.
Business benefits
What IFS Food certification does for a food manufacturer
We begin where a retailer's quality team begins: the specification behind each product, the HACCP study behind each line, the hygiene of the factory on an ordinary shift, and whether the ten KO requirements hold when nobody is watching.
- A result customers can compareA percentage score and a Foundation or Higher level give retail customers a common yardstick across suppliers, and give you a trend to improve from one year's audit to the next.
- Fewer duplicated customer auditsOne annual audit, with its report and action plan held in the IFS Database, in place of separate visits from every customer that accepts the scheme.
- Products that match the agreed specificationCustomer agreements and raw material specifications kept under control, so recipes, labels and claims match what was agreed with the customer and what the law requires.
- Fewer incidents and recallsForeign material risk mitigation, allergen control and CCP monitoring that work on every line, and a recall procedure tested long before it is needed.
- Protection against fraud and tamperingA food fraud vulnerability assessment and a food defence plan covering substitution, adulteration and deliberate contamination, reviewed as suppliers, prices and threats change.
- A site ready on any dayHygiene, monitoring and records kept the same on every shift, so the unannounced audit, and the IFS Star that follows it, holds no surprises.
Requirements
What are the main IFS Food requirements?
IFS Food Version 8 is published in four parts: the certification protocol; the audit checklist, the list of IFS Food requirements; the requirements for accreditation bodies, certification bodies and auditors; and reporting, IFS software and the IFS Database. What your site implements is Part 2: five chapters of requirements, ten of them designated KO. The table is a plain-language map; during the programme the site is checked requirement by requirement against the Version 8 text and the current doctrine.
| Chapter | What it requires of you | What it looks like in practice |
|---|---|---|
| 1 Governance and commitment | Senior management sets the policy, the organisation and responsibilities, supports a food safety culture and reviews the system; one of the ten KO requirements sits in this chapter | A policy the site can explain, responsibilities and deputies defined, culture actions on the elements the April 2026 doctrine lists (commitment, leadership, awareness, communication, resources), and a management review that decides |
| 2 Food safety and quality management system | Keep a documented system with controlled documents and records, and a HACCP system for the products and processes in scope, with the monitoring of each critical control point designated KO | Controlled documents, records made at the time of the check, a HACCP study per product group with flow diagrams confirmed on the floor, and CCP monitoring with corrective action whenever a limit is missed |
| 3 Resource management | Manage the people side of food safety: human resources, personal hygiene (a KO requirement), training and instruction, and staff facilities | Hygiene rules followed and checked on the production floor, training records for every role including temporary workers, and changing, washing and break areas kept to standard |
| 4 Operational processes | Control what is made and how: customer agreements and raw material specifications (both KO), development, purchasing and supplier approval, the factory and its cleaning, foreign material risk mitigation (KO), pest control, storage and transport, maintenance, traceability (KO) and allergens | Customer agreements honoured, specifications for every raw material, suppliers approved on risk, a factory in good repair, cleaning verified, foreign material checks on record, traceability tested and allergen changeovers validated |
| 4.20 Food fraud · 4.21 Food defence | Assess raw materials for fraud vulnerability and mitigate the risk; protect the site and its products against deliberate contamination and tampering | A vulnerability assessment reviewed when prices, origins or suppliers change, and a food defence plan with access controls in daily use |
| 5 Measurements, analyses, improvements | Measure and improve: internal audits (KO), process validation, product testing, complaints, incident, withdrawal and recall procedures (KO), non-conforming products and corrective actions (KO) | Internal audits that find real issues, validated processes, a testing plan with trended results, a recall procedure that has been tested, non-conforming product blocked, and corrective actions checked for effect |
| KO Ten KO requirements | Across chapters 1 to 5, ten requirements can be scored A, B or D only; a D subtracts 50 per cent of the possible total and no certificate can be issued | Governance and commitment, CCP monitoring, personal hygiene, customer agreements, raw material specifications, foreign material risk mitigation, traceability, internal audits, recall and withdrawal procedures, and corrective actions, each with live evidence |
What does useful IFS Food evidence look like?
A current specification for every raw material and the customer agreement behind each private-label product; a HACCP study the team can explain at the line; CCP records made when the check was made; hygiene checks that match what the auditor sees; detector and sieve checks on record; a traceability test on a real batch; internal audits that found and closed real issues; a tested recall procedure; and food fraud and food defence plans that reflect this year's suppliers. These records live in Effivity from the first workshop, so the auditor scores a system in daily use, not a folder prepared for the day.
IFS Food requirements explained, chapter by chapterCertification process
How do you get IFS Food certified?
Implement the system and run it; then an accredited certification body under contract with IFS audits the site, scores it and decides. Sterling prepares your site and works alongside your team. The audit, the score, the level and the certification decision belong to the certification body alone.
- 01Define the scope and the audit option.Products, processes and lines; the product and technology scopes they fall under; any head office functions; the announced or unannounced option; and the audit duration, which IFS's mandatory calculation tool sets.
- 02Gap analysis: review the current site against the requirements. All five chapters of Version 8 and the ten KO requirements checked against the site, the HACCP studies, the specifications and the records; actions, owners, dates, budget for works and resources agreed.
- 03Implement and build the evidence.Complete the HACCP studies, specifications and customer agreements, close factory and hygiene gaps, put food fraud, food defence, allergen and foreign material controls in place, train the people and keep the records in daily production.
- 04Audit internally, test and review.A full internal audit against Version 8, scored the way the certification body will score it, a traceability test, a recall test and a management review; KO risks and potential Majors raised by us first and closed with evidence.
- 05Complete the IFS Food Audit. The certification body audits on site and sends the action plan within two weeks of the last audit day; your team returns it, with evidence that corrections are in place, within four weeks of receiving it; after technical review, the certificate follows six to eight weeks after the audit, at Foundation or Higher level.
- 06Keep the certificate and the level. An IFS Food Audit every year, in a window from eight weeks before to two weeks after the audit due date, at least one audit in three unannounced, and doctrine changes applied as IFS publishes them.
Check the route before the price. Ask which certification body will audit, confirm with its accreditation body that it is accredited to ISO/IEC 17065 for IFS Food, and confirm that it holds a contract with IFS Management GmbH. Offers that skip implementation tend to end with a KO requirement scored D, or with a certificate a retailer's quality team will not accept. Cost
How much does IFS Food certification cost?
A single-line ambient producer with current specifications and sound HACCP studies is a different project from a multi-line chilled site whose floors, drains and equipment need work before the first audit. We price the site in front of us: one all-inclusive proposal, with every component shown.
| Cost component | What affects it |
|---|---|
| Consulting and implementation | Condition of the HACCP studies, specifications and factory; number of products, lines and processes; shifts and languages; and how much of the work your team carries (Design™ or Drive™) |
| Independent certification | The certification body's fee for the audit time IFS's mandatory calculation tool sets for your site, travel, the audit every year, any follow-up audit after a Major, and any other charges the body quotes |
| Internal resources | Quality and HACCP team time, supervisors on the line, training hours, product testing and validation, and the factory, hygiene and pest control works the requirements call for |
| Software and learning | Included in a Sterling engagement: Effivity for the IFS Food system and Sterling Academy access for your people, with users, courses and access period confirmed in the proposal |
| Continued support | Scored internal audits, traceability and recall tests, refresher training, readiness for the unannounced audit and doctrine updates under Sustain™ |
What moves the price
- Number of products, lines, processes and HACCP studies in scope
- Whether the factory, equipment and hygiene meet chapter 4 today, or need works first
- Whether specifications and customer agreements exist for every raw material and product
- Head office functions, languages and the number of shifts to train
- The audit option, and the level your customers expect
What a Sterling proposal always shows
- Deliverables, responsibilities, assumptions and exclusions, in writing
- Certification-body fees identified separately, so the programme cost can be compared
- Effivity, training and Academy access itemised at no additional cost
- Payment milestones linked to deliverables rather than dates
- One all-inclusive proposal. No surprises, ever
Timeline
How long does IFS Food certification take?
An IFS Food Audit scores what the auditor sees on the day and the records behind it, so the system must run before it is audited: specifications signed off, HACCP studies validated and monitored, factory findings fixed rather than planned, and records built up over enough production to show a pattern. Five to ten months is the realistic range from gap analysis to certificate, including the six to eight weeks between audit and certificate: the shorter end for a site with sound HACCP studies and specifications, the longer end where works are needed.
| Phase | What determines the pace |
|---|---|
| Scope and gap analysis | Access to the site on a production day, the HACCP studies, the specifications and customer agreements, the last customer audit and the complaint history |
| Factory, HACCP and specifications | The scale of factory and hygiene works, the number of products and processes, validation of CCPs and allergen cleaning, and approval times for spending |
| Operation and records | Production running under the system long enough for monitoring, hygiene, training and traceability records to exist on every shift, then the internal audit, the recall test and the management review |
| IFS Food Audit and certificate | The certification body's availability for your scopes, the audit duration, the two-week and four-week action plan steps, and the technical review before the certificate is issued |
If a retail listing, a tender or a seasonal launch fixes the date, tell us at the first meeting. We will say what is achievable, which decisions cannot wait, and which works need ordering in the first month.
Challenges
Common IFS Food implementation challenges
IFS Food programmes stall for reasons that recur from factory to factory. Each one has a practical answer.
One KO requirement can undo an otherwise good audit.
A missing raw material specification, a CCP record left blank or a traceability test that fails can turn into a D on a KO requirement, which takes half the possible score and stops the certificate. Our gap analysis starts with the ten KO requirements, and Effivity shows their evidence every week.
Small deviations cost the Higher level.
A B scores fifteen points instead of twenty, a C five and a D minus twenty, so a site with many small deviations drops below 95 per cent without a single serious failure. We close the last report's deviations as a list, and score the internal audit the way the certification body will.
The unannounced audit meets a different factory.
Checks done carefully by day and from memory at night are what an unannounced audit finds. The answer is fewer, clearer checks owned by each shift's supervisor, Effivity flagging a missed entry before handover, and internal audits at hours nobody expects.
Food fraud and food defence stay on paper.
An assessment written once and filed is easy to spot: prices, origins and suppliers have moved on and the document has not. We link the food fraud assessment to supplier approval and the food defence plan to site security, and set review triggers so both change when the business does.
The action plan deadline arrives before the evidence.
The certification body sends the action plan within two weeks of the audit and expects it back, with evidence that corrections are in place, within four weeks. We rehearse the routine on internal audit findings, so after the real audit everyone knows who writes what and which evidence closes each deviation.

What this means at the audit
An IFS auditor spends much of the audit in production: follows a product from its specification to dispatch, reads a shift's CCP and hygiene records, runs a traceability test on a real batch, then asks for the internal audits, the recall test and the management review. In Effivity each of those is a screen with dates, owners and evidence. Sustain™ carries on in the same workspace, so an unannounced auditor finds the system an announced one would.

The Sterling Promise
What our IFS Food certification success guarantee means
We stay with your site until the agreed IFS Food certification outcome is achieved: through consulting, audit preparation, the action plan and, if the certification body calls for one, the follow-up audit. The software and learning included in the fee leave the factory with a capability it keeps after we step back.
The engagement sets out the standard, the scope, the outcome and each party's responsibilities. Your organisation provides accurate information, completes the agreed works and operates the agreed controls. The independent certification body audits, scores and keeps its certification decision. Our commitment covers the agreed certification support; it does not warrant a particular score or level, Star status, the absence of any food safety incident, or approval by every customer.
After certification
What happens after IFS Food certification?
IFS Food is audited every year. Each certificate is valid from its date of issue until eight weeks, less a day, after the anniversary of the initial audit, and each recertification audit falls in a window from eight weeks before to two weeks after the audit due date. At least one audit in every three is unannounced, from sixteen weeks before the due date, and earns the IFS Star on the certificate and in the IFS Database until the next announced audit.
Between audits the site keeps changing: products, suppliers, lines, people, and doctrine updates that apply two months after publication, each a reason to revisit the HACCP studies, the specifications and the food fraud and food defence plans. After a recall or withdrawal the certification body must be informed: the April 2026 doctrine lists what it records at once (product, batches, date and reason) and after ten working days (the cause and the corrective actions). Under Sterling OS™ Sustain™ we run scored internal audits and traceability and recall tests with you, so the system keeps pace with the factory.
FAQs
Frequently asked questions about IFS Food
What does IFS Food cover, and can our site use it?
IFS Food applies to food manufacturers, and only where product is processed or treated, or where loose food is packed and could be contaminated at primary packing. Its five chapters run from governance and commitment to measurements, analyses and improvements, with food fraud and food defence inside operational processes. Storage, transport and development at the site are part of the audit; a logistics provider, a broker or a packaging maker uses the IFS standard written for that activity.
Is IFS Food recognised by GFSI?
Yes. GFSI's list of recognised certification programmes, last updated in August 2026, names IFS Food version 8, benchmarked against Version 2020 of the GFSI Benchmarking Requirements. In April 2026 IFS revised the Version 8 doctrine to meet the 2024 Benchmarking Requirements and to prepare its recognition application under them. A certificate from an accredited certification body under contract with IFS answers a request for GFSI-recognised certification; check whether your customer also asks for a level or the Star.
What are KO requirements, and what happens if one fails?
KO, short for knock-out, marks the ten requirements that decide whether a certificate is possible: one on governance and commitment, then the monitoring of each CCP, personal hygiene, customer agreements, raw material specifications, foreign material risk mitigation, traceability, internal audits, incident, withdrawal and recall procedures, and corrective actions. A KO requirement can be scored A, B or D, never C; a B on a KO scores no points, and a D subtracts 50 per cent of the possible total, so no certificate can be issued and a new initial audit has to be agreed.
What is the difference between Foundation level and Higher level?
Both are IFS Food certificates; the level reflects the total score. At least 95 per cent earns the Higher level; at least 75 but under 95 per cent, the Foundation level. A Major non-conformity, a substantial failure against the standard, food safety or the law, subtracts 15 per cent of the possible total and stops the certificate until a follow-up audit, normally between six weeks and six months later, confirms it is resolved; the certificate is then issued at Foundation level only, whatever the final score. More than one Major, or any KO requirement scored D, means the audit is not passed.
How do unannounced audits and the IFS Star work?
At least one IFS Food Audit in every three must be unannounced. Its window opens sixteen weeks before the audit due date and closes two weeks after it. The site may declare up to ten working days, in no more than three periods, when it is not available, as well as non-operating periods. A site that has undergone an unannounced audit gains the IFS Star, shown on its certificate and in the IFS Database until an announced audit takes place.
How long is an IFS Food certificate valid?
It runs from its date of issue until eight weeks, less a day, after the anniversary of the initial audit; in practice, about a year. The recertification audit falls between eight weeks before and two weeks after the audit due date, and a new certificate follows six to eight weeks after an audit, so booking early in the window is the safer plan.
IFS Food, BRCGS or FSSC 22000: which should we choose?
Start with what your customers accept. All three are on GFSI's list of recognised programmes; ISO 22000 on its own is not. FSSC 22000 builds on ISO 22000 with sector prerequisite programmes and its own scheme requirements; BRCGS Food Safety prescribes site requirements and awards a grade; IFS Food, created by German and French retail federations, scores every requirement and awards a Foundation or Higher level. Where customers accept any of them, choose the logic that suits your site; one well-built system can serve more than one scheme.
Who can issue an IFS Food certificate, and how is it checked?
Only a certification body accredited to ISO/IEC 17065 for IFS Food that has signed a contract with IFS Management GmbH. IFS Food is a product and process certification scheme, which is why accreditation is to ISO/IEC 17065 rather than to ISO/IEC 17021-1, the standard for management system certification. The audit report, the action plan and the certificate are uploaded to the IFS Database, where Star status also shows.
Does Sterling issue the IFS Food certificate?
No. Sterling guides the system into place, trains your people and prepares the site; an accredited certification body under contract with IFS audits, scores and decides. A provider that offers to consult and certify under one contract is offering a document, not certification.
Before the first call
Prepare a useful IFS Food readiness brief
You need no manual before the first conversation, only a candid picture of the site and of who wants the certificate. Seven questions cover it:
- Who is asking for IFS Food: a retailer for private-label supply, a brand owner, an export customer or your own board, and does anyone name a level or the Star?
- Which products, processes and lines should the certificate cover, and does a head office carry out functions for the site?
- Do HACCP studies exist for every product group, and when were the hazard analyses last checked against the process as it runs today?
- Is there a specification for every raw material, and are customer agreements and private-label specifications up to date?
- What condition are the factory, the equipment, hygiene and pest control in today?
- What do complaints, customer audits, foreign-body findings and any recalls say about the starting point?
- Which retail deadline, listing, season or certificate date fixes the timetable, and who can decide on works, spending and people's time?
With these answers we can scope the work and prepare a realistic proposal. They prepare a discussion; they are neither a scored assessment nor a certification decision.
Don’t be fooled by certification scams
If it takes ten days, it is not IFS Food certification.
An IFS Food certificate helps only when an accredited certification body under contract with IFS issued it, the report and certificate sit in the IFS Database with the right scope, and the factory behind it would pass an unannounced audit tomorrow. Shortcuts abound: "IFS certificates" from bodies with no IFS contract, consultants who do everything while your staff learn nothing, HACCP studies borrowed from another plant. They look cheaper until a retail technologist asks for the database record, or an auditor arrives without notice.
How to choose a credible IFS Food provider
- Ask who will issue the certificate and confirm, with IFS and with the accreditation body, that the certification body holds a contract with IFS Management GmbH and ISO/IEC 17065 accreditation for IFS Food.
- Look behind the accreditation logo. Ask whether the accreditation body is a signatory of the Global ACI multilateral recognition arrangement, which replaced the IAF MLA and ILAC MRA, and whether IFS Food appears in the certification body's accredited scope.
- Ask how the ten KO requirements will be met. If nobody plans to check your specifications, CCP monitoring and traceability against the text, the auditor will do it for you, at the cost of the certificate.
- Identify who carries each task, which audit costs are separate, and what support exists during the four weeks allowed for the action plan and any follow-up audit.
- Ask what your line staff will learn and where the records will live. Without training and a working system the checks fade soon after the consultant leaves, and an unannounced audit shows it.
