In short

ISO 45001 certification in Poland at a glance

One Polish instrument bears on ISO 45001. It does not name the standard. So why do buyers in Poland keep asking for the certificate?

Occupational health and safety evidence in Polish tenders is left to the contracting authority. Art. 106 of the Prawo zamówień publicznych allows it to ask for evidence beyond the standard certificate categories where necessary for the procedure, as long as it names that evidence in the notice or documents, and ISO 45001 itself is a voluntary standard that tenders and customers may request. Demand therefore comes from principal contractors and site operators who ask subcontractors how safety is managed, from manufacturers with shift work, machinery and chemicals that want an auditable control system, and from companies combining ISO 45001 with ISO 9001 and ISO 14001 in one management system. The certificate is issued by a certification body accredited by the Polish Centre for Accreditation (PCA) or by another body within the international recognition arrangements. Sterling's Frankfurt office builds the hazard identification, risk assessment, worker consultation and internal audit arrangements for Polish sites, with Effivity and Sterling Academy included in the engagement.

The need

Who needs ISO 45001 in Poland, and what happens without it

In Poland the question rarely comes from a law. It comes from the buyer, the regulator or the partner that wants proof before it signs. These are the organisations that get asked.

  • Contractors and subcontractors on industrial, construction and logistics sitesPrincipal contractors and site operators ask suppliers how health and safety is managed.
  • Manufacturers with shift work, machinery and chemicalsOccupational risk is high and an auditable system gives management a structured control.
  • Public-tender biddersAn authority may ask for evidence beyond the standard certificates where needed for the tender, but must say so in its documents.
  • Companies integrating several ISO systemsISO 45001 fits beside ISO 9001 and ISO 14001 in a single management system.

Requirements

ISO 45001 requirements in Poland

Strip away the vocabulary and ISO 45001 requires a company to prove six things about keeping its people safe and healthy at work.

Leadership takes responsibility for safetyTop management is accountable for preventing work-related injury and ill health, and sets a policy and objectives to do so.
Workers have a real sayWorkers and their representatives are consulted and take part in decisions on hazards, controls, incidents and the system itself.
You know the hazards and the risksHazards are identified on an ongoing basis, risks are assessed, and health and safety legal requirements are known and met.
Controls follow the right orderRisks are reduced using the hierarchy of controls, from eliminating the hazard down to protective equipment, including for contractors.
You are prepared for emergenciesEmergency situations are identified, response plans are in place, people are trained and drills are carried out.
Incidents lead to learningIncidents and nonconformities are investigated, causes are corrected, and performance is monitored, audited and reviewed.

In Poland these six sit alongside the local laws and regulations listed under drivers below; one system can evidence both. The detail is on the global hub: ISO 45001 explained →

Time

How long does ISO 45001 certification take in Poland?

There is no standard duration: it depends on your scope and on how much of the system already runs. In Poland these are the factors that set the timeline.

  • Number of sites, shifts and contractors in scope
  • Hazard identification and risk assessment maturity
  • Worker consultation and participation arrangements
  • Certification body scheduling around summer and year-end

Sterling agrees a dated plan with you on the discovery call, once the scope is known.

Cost

How much does ISO 45001 certification cost in Poland?

The cost has two parts: the consulting work to build and prove the system, and the certification body’s audit fees, which are quoted separately. In Poland these factors move both.

  • Number of sites and workers in scope
  • Hazard-control remediation, such as machine guarding or monitoring
  • Training for managers and internal auditors
  • Certification body audit fees quoted separately from consulting

Sterling gives one customised, all-inclusive proposal after the discovery call, never before the scope is agreed.

Choosing a partner

ISO 45001 consultants and certification bodies in Poland

Two different organisations are involved. A consultant helps you build the system and prove it works; an accredited certification body then audits or assesses it and decides. Keeping the two separate is what makes the result credible to buyers and regulators.

  • Check that the body’s accreditation or approval covers ISO 45001 and your sector, and that its certificates can be verified online.
  • Ask the consultant how the local requirements in Poland are mapped into the same system, so nothing runs twice.
  • Ask for client references in your sector; Sterling’s client letters are available on request.
  • Agree who owns the evidence and the tool after the engagement; with Sterling the system stays yours, in Effivity.

Accreditation, audit language and remote audits in Poland

Use a certification body accredited for ISO 45001 by the Polish Centre for Accreditation (PCA) or by another accreditation body within the international mutual recognition arrangements (Global ACI — Global Accreditation Cooperation Incorporated, formerly the IAF MLA); check that the accreditation scope covers the standard and your sector. No body is named here unless its accreditation scope has been verified. Edition and transition details: ISO 45001 hub →

Audit language

Audits are held in Polish or English; agree the audit language and the language of controlled documents with the certification body at application, and follow any language requirement in a tender or contract.

Remote and on-site

Remote audit elements are at the certification body's discretion under its accreditation rules; operational sites are normally visited on-site.

ISO 45001 in Poland: questions clients ask

Is ISO 45001 required by Polish law?

ISO 45001 certification is a voluntary management-system benchmark that customers and tenders may request. Your legal health and safety duties come from employment and safety legislation, not from the certificate. Ask your counsel which legal duties apply to your workplace and which of them a management system helps to evidence.

Can a Polish tender ask for occupational safety evidence?

Yes. Art. 106 of the Prawo zamówień publicznych lets a contracting authority ask for evidence other than that listed in Arts. 104 and 105 where it is necessary for the procedure, provided it names that evidence in the notice or the contract documents. Proportionality still applies, so read each tender and query anything that looks excessive.

Who accredits ISO 45001 certification bodies in Poland?

The Polskie Centrum Akredytacji (PCA), Poland's national accreditation body, which accredits organisations providing certification services. It says it is a full signatory to the EA and Global ACI arrangements. Because accreditation is granted per scope, ask the certification body to show that ISO 45001 and your sector are within its PCA scope before you sign.

Can ISO 45001 be audited together with ISO 9001 and ISO 14001?

Yes, many organisations build one integrated system and one audit programme. Integration shares document control, internal audit, management review and corrective action across the standards, and it is listed among the drivers of cost for this certification. Your certification body sets the audit arrangements, so confirm with it how combined audits are scheduled and recorded.
