In short

ISO 13485 certification in Poland at a glance

In Poland, ISO 13485 is asked for by buyers and schemes rather than required by law. The drivers below show where the pressure comes from.

Medical-device manufacturers in Poland deal with two different kinds of body. The first is the notified body, designated by the President of the Office for Registration of Medicinal Products, Medical Devices and Biocidal Products under the Act of 7 April 2022 on medical devices, for conformity assessment under Regulations (EU) 2017/745 and 2017/746. The second is the certification body that audits a quality management system to ISO 13485, which should be accredited by the Polish Centre for Accreditation (PCA) or another body within the international recognition arrangements. The Polish Act does not name ISO 13485, so the expectation is set by the EU regulations, notified bodies and customers. Contract manufacturers, component suppliers and digital-health developers meet it through device makers' supplier qualification. Sterling's Frankfurt office builds the system, covering design control, risk management, supplier control and post-market processes, for Polish clients, with Effivity and Sterling Academy included in the engagement.

The need

Who needs ISO 13485 in Poland, and what happens without it

In Poland the question rarely comes from a law. It comes from the buyer, the regulator or the partner that wants proof before it signs. These are the organisations that get asked.

  • Medical-device manufacturers placing products on the EU marketConformity assessment under Regulations (EU) 2017/745 and 2017/746 involves notified bodies designated in Poland by the President of the URPL.
  • Contract manufacturers and component suppliers to device makersDevice makers qualify suppliers against a quality management system for medical devices.
  • Software and digital-health developersSoftware that is itself a medical device needs a quality system covering development and post-market activity.
  • Distributors and importers working with Polish manufacturersQuality agreements and audits by manufacturers and notified bodies reach down the supply chain.

Requirements

ISO 13485 requirements in Poland

Strip away the vocabulary and ISO 13485 requires a company to prove six things about making medical devices that are safe and work as intended.

Regulatory requirements are built inThe quality system covers the regulatory requirements of each market you supply and your role in the device supply chain.
Design is controlledDesign and development are planned, verified and validated, with changes controlled and a file kept for each device.
Risk management runs through the life cycleRisks to safety and performance are managed from design through production, delivery and use.
Production and suppliers are controlledProduction, process validation, cleanliness, sterilisation where relevant and purchased components are controlled and recorded.
Every device can be tracedIdentification and traceability let you find the components, batches and records behind any device you have released.
Complaints and feedback drive actionComplaints and nonconformities are handled, reported to regulators where required, and closed through corrective and preventive action.

In Poland these six sit alongside the local laws and regulations listed under drivers below; one system can evidence both. The detail is on the global hub: ISO 13485 explained →

Time

How long does ISO 13485 certification take in Poland?

There is no standard duration: it depends on your scope and on how much of the system already runs. In Poland these are the factors that set the timeline.

  • Device classes, product families and sites in scope
  • Design-and-development and risk-management maturity (including ISO 14971)
  • Supplier control and outsourced process validation
  • Certification body and notified body scheduling

Sterling agrees a dated plan with you on the discovery call, once the scope is known.

Cost

How much does ISO 13485 certification cost in Poland?

The cost has two parts: the consulting work to build and prove the system, and the certification body’s audit fees, which are quoted separately. In Poland these factors move both.

  • Number of sites, device families and suppliers
  • Technical documentation and validation work
  • Regulatory support separate from the quality system
  • Certification body audit fees quoted separately from consulting

Sterling gives one customised, all-inclusive proposal after the discovery call, never before the scope is agreed.

Choosing a partner

ISO 13485 consultants and certification bodies in Poland

Two different organisations are involved. A consultant helps you build the system and prove it works; an accredited certification body then audits or assesses it and decides. Keeping the two separate is what makes the result credible to buyers and regulators.

  • Check that the body’s accreditation or approval covers ISO 13485 and your sector, and that its certificates can be verified online.
  • Ask the consultant how the local requirements in Poland are mapped into the same system, so nothing runs twice.
  • Ask for client references in your sector; Sterling’s client letters are available on request.
  • Agree who owns the evidence and the tool after the engagement; with Sterling the system stays yours, in Effivity.

Laws and regulations that drive ISO 13485 in Poland (2)

    InstrumentHow it treats the standard
    Ustawa o wyrobach medycznych (Dz. U. 2024 poz. 1620)Related
The President of the Office for Registration of Medicinal Products, Medical Devices and Biocidal Products designates notified bodies for Regulations (EU) 2017/745 and 2017/746; the Act does not name ISO 13485.
Polskie Centrum Akredytacji (PCA) — national accreditation bodyMarket driver
Accredited ISO 13485 certification is available through the national accreditation body, which accredits management-system certification bodies; no mandate.

Accreditation, audit language and remote audits in Poland

Use a certification body accredited for ISO 13485 by the Polish Centre for Accreditation (PCA) or by another accreditation body within the international mutual recognition arrangements (Global ACI — Global Accreditation Cooperation Incorporated, formerly the IAF MLA); check that the accreditation scope covers the standard and your sector. No body is named here unless its accreditation scope has been verified. Notified-body assessment under the EU medical-device regulations is a separate regulatory route. Audit language

Audits are held in Polish or English; agree the audit language and the language of controlled documents with the certification body at application, and follow any language requirement in a tender or contract.

    Remote and on-site

Remote audit elements are at the certification body's discretion under its accreditation rules; operational sites are normally visited on-site.

ISO 13485 in Poland: questions clients ask

Who designates notified bodies for medical devices in Poland?

The Prezes Urzędu Rejestracji Produktów Leczniczych, Wyrobów Medycznych i Produktów Biobójczych, by administrative decision. The Act on medical devices of 7 April 2022 gives the President of the Office that power for Regulations (EU) 2017/745 and 2017/746. A notified body is a different thing from the certification body that audits you to ISO 13485, so confirm which one you need.

Does Polish law require ISO 13485?

The Act on medical devices does not name ISO 13485. Your obligations come from the EU medical-device regulations and your chosen conformity assessment route, and a notified body or customer may expect a certified quality management system for medical devices. Ask your notified body and customers what they require, and take regulatory advice on your device class.

Who accredits ISO 13485 certification bodies in Poland?

The Polskie Centrum Akredytacji (PCA), Poland's national accreditation body, which accredits organisations providing certification and other conformity assessment services. It reports full signatory status in the EA and Global ACI arrangements. Accreditation is scoped, so ask the body to show that ISO 13485 and your device sector are inside its PCA scope.

Is ISO 13485 certification the same as notified-body approval?

No. ISO 13485 certification by an accredited certification body shows your quality management system meets the standard, whereas notified-body assessment is the separate regulatory route under the EU medical-device regulations, using bodies designated by the competent authority. Plan the two together, because a notified body will look at your quality system, and confirm the details with it.
