Effivity for ISO 9001: how the software runs your QMS from the first workshop to the audit

Clause by clause: ISO 9001:2026 requirements: every clause explained →

Effivity is Sterling's ISO and GRC software, included with every consulting engagement at no additional cost. This guide shows how its modules turn everyday quality work into the evidence an ISO 9001 auditor samples, how Sterling uses it from the first workshop and where its limits lie.

Key points

  • Running ISO 9001 in Effivity means each record is created by the person doing the work, when it happens, and stays linked to what follows: exactly what a Stage 2 auditor samples.
  • Effivity has a module for each part of the system an auditor examines, from context and risk to internal audit, management review and corrective action.
  • Sterling works in Effivity from the first workshop, where it is included with the engagement, at no additional cost, so the months before certification build genuine operating history.
  • The software records decisions but does not make them, and it does not certify: an independent, accredited certification body decides.

What "the system runs in the software" means to an auditor

A certification auditor audits your quality management system, not your software. At Stage 2 that means sampling real cases and following each one: a complaint to its investigation, a supplier to its approval, a new employee to the evidence of competence, a finding to the corrective action and the check that it worked.

In a system scattered across e-mail, shared drives and spreadsheets, those threads break, and the weeks before the audit become a hunt for evidence. Auditors recognise the signs: dates bunched just before the visit, one name on every record, corrective actions opened and closed on the same day.

In Effivity the record exists because the work happened. The complaint was logged when it arrived, the supplier was evaluated before approval, and the audit finding became a nonconformity with an owner and a due date. Documents carry their version and approval status, and reminders and escalation surface what is overdue. ISO 9001 requires nothing extra of a system run in software; what changes is the effort of meeting the requirements and how convincing the evidence is when the auditor pulls a thread.

Module by module: how the evidence builds up

Each main clause of ISO 9001 has a home in Effivity. The table shows where the work is done and the record it leaves behind, using Effivity's own module names. None of these records is produced for the audit; each is a by-product of doing the work in the module.

Design & Development, Compliance Obligation and Communication follow the same pattern for design work, applicable legal and contractual requirements, and quality communication.

A worked trace: one complaint

A customer reports a short delivery and the complaint is logged against the customer the same day. The quality lead raises a nonconformity of the complaint type with a primary and a secondary owner, and Effivity sends reminders as the due date nears. The owner records the correction (missing items dispatched), the root cause (an order amendment that never reached the picking list), the corrective action and its cost. Weeks later the owner confirms there has been no recurrence from the same cause and closes the record, and the complaint trend goes to the next management review. An auditor who samples that complaint finds the whole chain, dated and owned, without anyone assembling it.

How a Sterling engagement uses Effivity from week one

Effivity, used in 50+ countries, is set up at the start of a Sterling ISO 9001 engagement, not handed over at the end.

  • Workshops write straight into the system. Context, interested parties, risks and objectives are captured in their modules with process owners present, not typed up from flip charts later.
  • The plan is visible. The implementation plan from the gap analysis is tracked in Effivity with milestones and owners, so management sees progress rather than hearing about it.
  • Documents are sorted, not copied. Procedures people use move into Documented Information with an owner and a version; the rest are retired. See ISO 9001 documentation: what you need and what you do not.
  • Workflows fit your organisation. The pre-configured QMS workflows are adapted, form by form, to how your teams already work, and records start the day each process goes live.

The first internal audit is scheduled and reported in the Internal Audit module, and its nonconformities flow into the nonconformity records; ISO 9001 internal audit: planning, conduct and reporting covers the audit itself.

Multi-site organisations and integrated systems

Effivity can be set up as a multi-site structure, so every site records its work in the same system on the same forms and the central quality function reviews one body of evidence. That matters when a certification body audits a sample of sites: sampling depends on central control of the system and on internal audits that reach every site. The site running its own spreadsheets is usually where the sample finds trouble.

Effivity is also designed to combine quality, safety and environmental management in one system. An organisation adding ISO 14001 or ISO 45001 runs the shared elements once (context, risk, documented information, competence, internal audit, management review and corrective action) and adds only what each standard requires. The certification body still assesses each standard on its own terms; integration saves effort, not scrutiny.

Surveillance audits, Sustain™ and the years after the certificate

Certification starts a three-year cycle with surveillance audits at least once a year. They sample less than the initial audit but test continuity: internal audits held as planned, the management review completed, complaints investigated, corrective actions proven. A system that came to life only for certification shows gaps in exactly these records.

Continuity is where software earns its keep. Scheduled audits trigger alerts, overdue tasks escalate and dashboards keep open actions in view, so the recurring work does not depend on one person's memory. Under Sustain™, Sterling continues with internal audits, system upkeep, refresher learning and future transitions, such as the move to ISO 9001:2026, in the same Effivity system.

How Sterling uses Effivity

One system from the gap analysis to surveillance.

Effivity is included with the engagement, at no additional cost, with users and access period set out in the proposal. Our expert and experienced consultants build your ISO 9001 system in it with your process owners and complete the internal audit and management review with you before the certification body arrives. We ensure successful certification for our clients. Sterling does not certify: the certificate comes from the independent, accredited certification body you appoint.

What Effivity does not do, and where implementations go wrong

Effivity does not certify, and neither does Sterling; an independent, accredited certification body decides after its Stage 1 readiness review and Stage 2 audit. Nor does the software make decisions. It records a risk rating, a root cause or a management review conclusion; whether each is right stays a judgement for your people, and they must explain it when the auditor asks.

  • Templates left as loaded. Unadapted workflows describe a generic organisation, and interviews expose the difference.
  • One person entering everything. The evidence then shows a single name and no ownership in the processes.
  • A parallel spreadsheet. Two sources of truth drift apart, and the auditor samples the one nobody updated.
  • Closing actions too early. A corrective action closed before its effect could be seen is an easy finding.

Effivity for ISO 9001: questions buyers ask

Does ISO 9001 require software?

No. The standard sets requirements for the system, not the tools, and certification bodies do not expect any particular product. Sterling includes Effivity because a system held in one place, with owners, versions and reminders, is easier to run and to evidence.

Will the certification auditor look at our records in Effivity?

Normally, yes. Your people open the records the auditor selects and explain them. For any remote part of an audit, how records are shared is agreed with the certification body beforehand.

How many of our people get access, and for how long?

The number of users and the access period are confirmed in the proposal for your scope. Build the user list around process and action owners, so records carry the names of the people who did the work.

Can people on the shop floor or at client sites use it?

Yes. Effivity is cloud-based and has a mobile app, so an inspection, a complaint or an audit finding can be recorded where it happens rather than transcribed at a desk later.

Does using Effivity shorten the certification audit?

Do not plan on it. Certification bodies set audit duration under accreditation rules, mainly from headcount, process complexity and number of sites. The software changes how the time is spent: records are found quickly, so the audit moves on to how well the system works.
