Implementation walkthrough

How to implement ISO 41001: video walkthrough

A walkthrough of implementing an ISO 41001 facility management system, from the demand organisation's requirements to the first performance review.

  • Implementation walkthrough
  • 3 min 14 s

Key takeaways

  • ISO 41001 links the demand organisation's needs to the FM services that meet them.
  • It applies to FM providers, in-house teams and landlords serving tenants.
  • Scope names services, sites or contracts and the demand organisations covered.
  • Outsourced services fall within the operation clauses.
  • It integrates with ISO 9001, ISO 14001 and ISO 45001.

Facility management built around the organisation it serves

ISO 41001 is the international standard for facility management systems. It sets out what an organisation that delivers facility management, whether a provider, an in-house function or both, needs to show that its services support the objectives of the organisation it serves, meet the needs of the people who use the facilities and stay sustainable. Cleaning, maintenance, security, reception, catering, workplace services, energy and space are the visible output; the standard is about how they are planned, integrated, measured and improved.

Two parties sit at the centre of the standard: the demand organisation, which has a need and the authority to spend money to meet it, and the FM organisation, which meets the need. This short film walks through how the system linking them is implemented.

From the scope to the first performance review

Settle the scope of the certificate: the services, the sites or contracts, the demand organisations, the subcontracted work, the headcount and what clients or tenders expect the scope to say. A gap analysis then compares what runs today with clauses 4 to 10, keeps what works and agrees actions with owners and dates.

Implementation documents the interested parties, led by the demand organisation and the users, with their requirements and how those requirements are kept current. It sets the information and data the FM organisation needs, brings in-house and outsourced services under the operation clauses, and starts measuring performance against what the demand organisation needs. The first performance review then shows whether services support the organisation's objectives. Internal audit and management review follow before an independent, accredited certification body assesses the system and decides.

Sterling's expert and experienced consultants support the work under Sterling OS™, with the system held in Effivity. ISO 41001 shares the harmonised structure, so it integrates with ISO 9001, ISO 14001 or ISO 45001. The current edition is ISO 41001:2018 with Amendment 1:2024.

ISO 41001: questions people ask

Is ISO 41001 only for facility management companies?

No. The standard applies to any organisation, or part of one, that manages facilities, whether the services are delivered by an external provider, an in-house function or a combination. An in-house FM team can be certified in its own right, with the core business as its demand organisation, and ISO 41001 does not require ISO 9001 first, although an existing ISO 9001, 14001 or 45001 system shortens the work.

What is a demand organisation, and do we need one to be certified?

The demand organisation is the entity that has a need and the authority to incur costs to have it met: the client, for a provider; the business the function serves, for an in-house team. Every FM organisation has one; the standard requires you to determine its needs and align the FM policy and objectives with its strategic direction.

Which services and sites should the certificate cover?

The scope should name the services, the sites or contracts and the demand organisations the FM system covers: a single campus, a portfolio or a defined set of contracts, within which the certification body samples client sites. Define it around what your clients or tenders need to see, and nothing you do not manage.

Can ISO 41001 cover services we subcontract?

Yes. Subcontracted services are inside the FM system when they are part of what you deliver. You remain responsible for the criteria, the competence of the people doing the work, the data exchanged and the monitoring of the service, and the auditor will ask for that evidence.

Is ISO 41001 certification mandatory?

No law requires it in general. Tenders, client questionnaires and framework agreements increasingly ask for it, and some organisations implement it unprompted because they want the FM function planned, integrated and measured like any other part of the business.
