Effivity ISO 14001 guide: running aspects, legal registers, monitoring and drills in one system

Clause by clause: ISO 14001:2026 requirements: every clause explained →

How Effivity, Sterling's ISO and GRC software, runs an ISO 14001 environmental management system: where each requirement lives, what Sterling configures at the start, what the certification auditor samples, and what the software cannot do for you.

  • Updated September 2026

  • Part of the ISO 14001 hub

Key points

  • Effivity runs an ISO 14001 environmental management system by giving each requirement a place where the work is recorded: aspects, compliance obligations, monitoring, emergency drills, audits, reviews and corrective actions.
  • Sterling configures it around your sites, permits and significant aspects at the start of the engagement, so monitoring data and compliance evaluations accumulate for months before the certification audit.
  • Effivity is included with the engagement, at no additional cost, and is used in 50+ countries; users and access period are set out in the proposal.
  • The software holds evidence and prompts the recurring work; it does not decide which aspects are significant, whether you comply, or whether you are certified.

How does Effivity run ISO 14001?

Effivity runs ISO 14001 by holding the environmental management system in one place: the scored aspects register, the compliance obligations for each site, the monitoring results against permit limits, the emergency drills, the internal audits, the management review and every corrective action, each with an owner, a date and a link to what came next. Your team does the environmental work; the software records it as it happens and reminds people when the next reading, evaluation or drill is due.

EMS evidence is usually spread thin: laboratory results in one inbox, waste manifests with logistics, permit conditions in a cabinet at each plant. When an auditor asks whether a site met its effluent limit last quarter, and what happened when it did not, Effivity already shows one chain: the result, the limit, the nonconformity and the action that fixed the cause.

ISO 14001:2026 does not require software; the case for Effivity is fewer lost records, fewer missed readings and a system that keeps running when the environmental lead is on leave.

The ISO 14001 requirements mapped to Effivity

The table follows the clause titles of ISO 14001:2026; where Effivity holds a register or form configured for your EMS, it says so in plain terms.

ISO 14001 requirementWhere it lives in EffivityWhat the auditor can sample
Context and interested parties (clause 4)Issues, interested parties and the scope statementThe recorded decision on climate change and its last review
Policy, roles and objectives (clauses 5 and 6.2)Policy & ObjectivesThe policy and one objective with its measure and progress
Aspects and impacts (6.1.2)An aspects and impacts register configured with your scoring criteria, site by siteWhy one activity was, or was not, rated significant
Compliance obligations (6.1.3)Compliance Obligation, holding the legal register and permit conditions for each siteThe obligations and permit limits of a sampled site
Risks, opportunities and planned changes (6.1 and 6.3)Risk & OpportunityA risk treatment, and a change assessed before go-live
Competence and awareness (clause 7)HRCompetence of the operator running the effluent plant
Communication (clause 7)CommunicationA regulator submission or a neighbour's complaint and the response sent
Documented information (clause 7)Documented InformationThe current emergency plan with its approval history
Operational control and external providers (8.1)Operating criteria as controlled documents; waste contractors and suppliers evaluated in PurchaseA waste contractor's licence, evaluation and manifests
Emergency preparedness and response (8.2)Emergency scenarios, plans and drill recordsThe last spill drill, what went wrong and how the plan was revised
Monitoring and measurement (9.1.1)Monitoring results logged against limits; meters and analysers with calibration records in OperationsA quarter of results and the meter's calibration status
Evaluation of compliance (9.1.2)Compliance Obligation, with the evaluation result recorded for each obligationThe latest evaluation and action on any obligation not met
Internal audit and management review (9.2 and 9.3)Internal Audit; Management ReviewThe programme, one report and the last review's decisions
Nonconformity and corrective action (10.2)Non-conformance/Deviation ManagementAn exceedance traced from correction to effectiveness check

The detailed methods behind the two registers are covered in Environmental aspects and impacts: building the register and Compliance obligations and the legal register, site by site.

What Sterling configures at the start

Effivity is set up in the first weeks of a Sterling ISO 14001 engagement, so gap analysis actions and workshop outputs land straight in the system, configured to your operation rather than a generic template.

  • Sites and boundaries. Each location is set up separately, so records sit where they belong and sites can be compared.
  • Aspect scoring criteria. Your agreed criteria for severity, frequency, legal relevance and stakeholder concern are built in, so every assessment is scored alike.
  • Obligations and permit conditions. Laws, permits, licences and group requirements entered per site with review dates.
  • Monitoring parameters. Effluent, emissions, noise, waste, energy and water, each with its limit or target and frequency, and the meters with their calibration dates.
  • Emergency scenarios and drills. Spills, fires and releases for each site, with a drill schedule and lessons learned.
  • Users and owners. Site managers, process owners and the environmental lead each own their records.

ISO 14001 documentation: what you need and what you do not sets out the minimum document set.

A worked trace: one effluent exceedance

A monthly laboratory result shows that suspended solids at the outfall of one plant exceeded the permit limit. Logged against the parameter, it sits above the configured limit, so the site environmental officer raises a nonconformity in Non-conformance/Deviation Management with the plant manager as owner.

The correction is recorded first: the settling tank is desludged and resampled. The cause is a desludging task on nobody's schedule; the corrective action puts it into the maintenance plan with a reminder. The compliance obligation for that permit shows the exceedance in its next evaluation, and the result goes to management review as a performance input.

Three months of results below the limit later, the owner checks effectiveness and closes the record. An auditor who picks that plant finds the reading, the nonconformity, the root cause, the action, the evaluation entry and the review decision, dated and owned, with nothing assembled for the visit.

What the certification body's auditor sees

At the Stage 1 readiness review the auditor looks at design: scope, the two registers and the plans for monitoring, internal audit and management review. In Effivity the auditor sees that they have been used, not just written.

At Stage 2 the auditor tests operation. Expect the auditor to pick a significant aspect and ask for its operating criteria, monitoring results, the related compliance evaluation and the operator's competence. Your people open those records and explain them.

Where a certification body samples sites, it relies on central control and internal audits reaching every site; one system for all sites shows both. Where ISO 45001 runs alongside, the shared elements are kept once; ISO 14001 and ISO 45001: one HSE system explains how.

How Sterling uses Effivity

Your EMS running in one system from the gap analysis onwards.

Our expert and experienced consultants set up Effivity around your sites, aspects and permits, build the registers with your team and complete the internal audit and management review with you before the certification body arrives. Effivity is included with the engagement, at no additional cost. We ensure successful certification for our clients. Sterling does not certify; an independent, accredited certification body audits and decides.

After the certificate: surveillance and the move to the 2026 edition

Surveillance audits test whether the EMS kept running: monitoring continued at the planned frequency, compliance was evaluated, drills were held, internal audits covered the programme and management review took place. Gaps in those records are the usual surveillance findings. Effivity's reminders, escalation and dashboards show what is overdue before an auditor does. ISO 14001 surveillance and recertification: the three-year cycle covers the audit cycle itself.

Organisations certified to ISO 14001:2015 have until 30 April 2029 to transition, on the timetable their certification body confirms. In Effivity the transition work happens in the same records, not a parallel project; ISO 14001:2026: what changes and how to transition sets out what changes. Under Sustain™, Sterling continues with internal audits, system upkeep and refresher learning in the same system.

What Effivity does not do

Effivity does not certify, and neither does Sterling. It does not decide which aspects are significant, whether a site complies with its permit, or whether a corrective action worked; those remain judgements for your people, who must explain them to the auditor. It does not replace the laboratory or tell you which laws apply.

Implementations go wrong in familiar ways. A register loaded from a template lists aspects the site does not have and misses the ones it does. Monitoring results kept in a contractor's spreadsheet and uploaded only before audits show gaps in the dates. A single coordinator entering every record hides who actually runs the controls. Corrective actions closed the day after an exceedance, before any repeat result exists, are an easy finding at Stage 2.

Effivity for ISO 14001: questions buyers ask

What is the best ISO 14001 software for a first certification?

The best ISO 14001 software is the one your site teams actually use to record aspects, obligations, monitoring and actions as the work happens. Sterling includes Effivity in its engagements because it is configured to your sites and permits from the start and holds the whole EMS in one place.

Can Effivity hold monitoring results from an external laboratory?

Yes. Results are logged against each parameter and its limit with the report attached; sampling and analysis stay with the laboratory.

Does Effivity tell us which environmental laws apply to our sites?

No. It holds the compliance obligations register and the evaluation of each obligation, but identifying the applicable laws, permits and conditions is work for your team, supported by Sterling during the engagement.

Will the certification auditor accept records held in Effivity?

Yes, auditors routinely review electronic records. Your people open the records the auditor selects and explain them; for any remote part of the audit, the way records are shared is agreed with the certification body in advance.

Can we use Effivity for ISO 14001 and ISO 9001 together?

Yes. Effivity combines quality, environmental and safety management, so shared elements run once, while the certification body still assesses each standard on its own terms.
